Designated Manager Duties at Culpeper Community Complex (CCC)

 

The Designated Manager’s job is to ensure that no problems arise on the field of play and that all league duties are carried out in a timely manner.  

All Designated Managers will be board members and approved coaches only.

 

·         It will be your decision if games should be cancelled. 

  • The County Park personnel will make the decision by 4 pm during the week (Mon – Fri), especially if there has been rain during the day.  You can contact Mike Skelton, at 718-1642, on rainy week days to confirm whether the games can be played or not.
  • If there was rain and as you are walking the field, should you hear water splashing, all games should be cancelled. 

 

  • If you need to cancel games, please contact one of the Executive Board Members to update the message on the league phone (727-1177) that the games have been cancelled.

  • Call Kathy Gardiner at 423-1192 to update Cancellations.Com.  (If it is early enough to get an email out.)

 

·         At the start of the initial game:

  • Put on the orange Designated Manager vest and wear it the whole time you are on duty.
  • Get field equipment out and make sure that the 2 teams, playing the first game, are setting it up. 

ü       Set up two sets of yard markers on both fields on both sidelines.  

ü       When setting up the field for an Anklebiter game, only 60 yards are used and the sideline for one side of the field will be moved in up to the hash mark.   Alternate which side the Anklebiter teams will be playing on, especially if the field looks worn more on one side.

  • Team, Division and Corporate Sponsor signs – Please NOTE: At this time (090906), we do not have the Division or Corporate Sponsor signs to be displayed, but there will be signs made:

ü       Put up the one big team sponsor sign (in the storage facility) in a general area.   Please NOTE: At this time (091206), we do not have the one big team sponsor sign.

  • Make sure that Green trash cans, provided by the county, are near the field(s).  Put 2 – 3 extra Updike cardboard trash boxes on each sideline for each field.  Make sure that extra liners are in the bottom of the box before they are placed on the field.
  • Scoreboard - the home team will be keeping score. 

ü       Make sure that you get the controller (they are in a black case that is marked #8 & #9) out of the storage facility and hand it to the home team’s head football coach, to give to someone to work during the game.  The Home team will be responsible for keeping the period, the score and working the clock for the 10 minute halftime.  The official time will be kept by the referees on the field.  Instructions on how to operate the controller for the scoreboard are Velcro-ed to the back of the controller.    To get set up for the scoreboard, do the following:

                                                               i.      Take the generator and extension cord out to the scoreboard

                                                              ii.      Take the extension cord and plug it into the generator and into the gray box located on the scoreboard upright.

                                                            iii.      Take the black cord attached to the scoreboard and plug it into the generator.

                                                            iv.      Start up the generator.

 

·         At the start of the each game:

  • Check in with coaches:

ü       Make sure the coach is on the right side of the field.  The home sideline is the scoreboard side.

ü       If Midget or Bandit game:  Give each coach their Mandatory Playing Time Clipboard and remind them that they must complete it during the game and give it back to you at the end of the game.

ü       Remind all coaches about helping out and getting the trash out of the Updike trash boxes and to the green trash cans after their game.

ü       Make sure that the Home Team coach or someone on his team, has the scoreboard controller.

  • Referees must Check in with the Designated Manager on Duty:

ü       If Midget or Bandit game: Officials present must sign-in on the Paid Officials sheet for the appropriate division game.

  • If applicable, check in with concession vendors.  If referees are there for a few games on a Saturday, the league will pay for them to have a drink and a sandwich from the vendor present.  

 

 

·         During each game:

  • Stay at the field that you have duty.
  • Check trash cans and change bags as needed.
  • Ensure that order is maintained during the game by all coaches, players, fans and referees.
  • Make sure that the spectators are adhering to the orange lines painted on the grass.  They must stay behind this line during the whole game.  Walk around the field a few times during each game for better crowd control.
  • Carry Designated Manager’s Binder at all times.  All rosters, schedules, paid officials sheet, injury & contact info are in it.
  • Take control should an injury occur.  Get the insurance paperwork (located in the DM binder) to the appropriate parent.  Should a rescue squad be needed, try to have only person call it in.   Make sure that you call Dave Hall (825-3274) with the injured player’s name and phone number.
  • Make sure that the games are moving along as scheduled.   Should any game go into overtime, try to get everything moving from one game to the next as quickly as possible---for example, get the next game’s coaches and make sure they are ready to take the field and start to play as soon as the prior game has ended.

 

·         At the end of each game:

  • If Midget or Bandit Game:

a.       Collect Mandatory Playing Time Clipboard and:

                                                   i.      Make sure that all the boxes have been filled for each player.   If they are not, here are a few examples of what could be the reason.   If any of these are the case, make sure that one of the following issues are annotated on the playing sheet across the boxes for that particular player:

1.       INJURY

2.       NOT PRESENT

3.       DISCIPLINARY

4.       MISSED PRACTICES

                                                  ii.      Make sure that the score is written on the Playing Time Sheet in the appropriate boxes at the top right of the paper.

                                                iii.      Make sure that it has been signed by the Athletic Director and that you sign it once everything has been verified and or questioned.

                                                iv.      Make sure that you write the score in the appropriate box on the score sheet in the front of the Designated Manager’s binder.

                                                 v.      File the completed sheet in the Designated Manger’s binder pocket that says “Completed Playing Time Sheet for Bandits & Midgets.”

                                                vi.      Contact Kathy Gardiner with all scores to be updated on the CFA website.

b.       Set up the Mandatory Playing Time Clipboard for the next game (Midget or Bandit). 

                                                   i.      All Mandatory Playing Time Sheets are located in each binder for both the Midget and Bandit divisions for the appropriate field.   There is a home section and an away section.

  • If there is another contact game on your field, the referees must Check in with the Designated Manager on Duty (even if it is the same referees):

ü       If Midget or Bandit game: Officials present must sign-in on the Paid Officials sheet for the appropriate division game.

 

·         At the end of the day:

  • Make sure that the clipboard for your field is put in the Designated Manager’s Binder with the next game’s playing time sheets on it.
  • Make sure that the 2 teams, playing the last game on your field, are picking up all field equipment.
  • Make sure all the trash is picked up and that the coaches have combined all the trash from the trash boxes to the green trash cans.  Take boxes back to the storage facility, if still usable, and take all trash bags and/or boxes to the dumpsters over by the baseball field parking lot to be dumped.   Line the large green trash cans with the bags provided in the storage facility and tape the bag onto the trash can on three sides.
  • Take down the large team sponsor sign and store in the storage facility.
  • Scoreboard - Make sure that you get the scoreboard controller from the home team and put it in the correct black case (Field #8 or #9) that is located in the storage facility.  Unplug the generator and store it and the extension cord in the storage facility.
  • Try to leave the storage facility organized----Please don’t just throw everything in and shut the door!
  • Lock the storage facility.
